In QuickBooks:
1) Perform the One-Time Integration Setup steps (See attached document)
2) Identify the payroll “Item Name” for each of your payroll items. (Similar to “Hourly Rate 1”, “Regular Pay”, etc.)
3) Identify the employee name, including spelling and use of initial, for each of your employees. (This is critical for matching the time to the right employee)
4) Set your employee to "Use time data to create paychecks". (This is a checkbox in your Payroll Info tab, in the Edit Employee Screen)
5) Determine the program location (Probably “C:\Program Files\Intuit\QuickBooks Pro” or similar)
In RealTime Timekeeper:
1) Go to Setup > Export Definitions. Either add a new export type, or double-click the current one (if it's not being used).
2) Change the name of the Export Definition to QuickBooks Export, or something similar.
3) Change the Export Type to QuickBooks.
4) For each hour type, enter the Item Name you got from QuickBooks.
5) Enter a Default File Name, such as "Payroll.iif". The name can be whatever you'd like, but the ending should be ".iif"
6) Next to Employee ID, first select Employee, then in the box to the right, select one of the Full Name formats. Click Save.
7) Go to Setup > Rules > Pay Period Rules, and double-click on the pay period(s) assigned to your employees. Select the QuickBooks Export definition (or whatever name you specified in Step 2). Click Save.
To generate payroll:
1) Make sure all Exceptions have been corrected, and check to make sure your employees' hours look right.
2) Go to Dashboard and click "Execute".
3) Put a checkmark in the box for the pay period(s) you want to export. Usually you will leave the date range set to "Previous Pay Period".
4) Click Generate Export. Wait a moment while RealTime builds the data. Once it's complete, you'll have the ability to Save each file generated.
5) Click Save As, and save the export file to your computer.
To import the file into QuickBooks:
1) Backup your payroll data, in case you need to roll back changes.
2) Go to QuickBooks > File > Utilities > Import > IIF Files.
3) Navigate and Open the file you created above.
