After you create an employee record, you need to create a clock ID for them. You can do this at the clock menu, or you can do this in the Timekeeper software. The latter is recommended.  


Method 1 (Recommended): Assuming that you have NOT yet enrolled the employee Fingerprint, Face or Badge at the clock (Timekeeper Software first)

From Setup > Clock Identities, Select the clock group from the Dropdown...

  1. Click "add"
  2. Type in the clock ID number under PIN
  3. Click the Employee field and Select the employee.
  4. Repeat steps 1,2 and 3 as needed
  5. Save the Clock Group


Silverlight Version

Several to Do...

From Setup > Communications, double-click on the clock group, then go to the Identities tab...

  1. Click "add"
  2. Type in the clock ID number under PIN
  3. Assign that clock ID to the employee using the Dropdown list
  4. Repeat steps 1, 2 and 3 as needed
  5. Save the Clock Group

Individually...

From Employees, edit the the employee...

  1. Select the Externals tab
  2. Type in the clock ID number in "User Definable" field
  3. Choose the clock group
  4. Click "add"
  5. Save the Employee



Once the clock ID's have been set up, you can enroll the employee at the clock using the "Clock ID Is Assigned" path (Step 3.2).

Method 2: Assuming you have already enrolled employee Fingerprint, Face or Badge in the clock

From Setup > Clock Identities, Select the clock group from the Dropdown...

  1. Locate the Clock ID in the PIN column
  2. Click the Employee field and Select the employee
  3. Repeat steps 1 and 2 as needed
  4. Save the Clock Group


Silverlight Version

Several to Do...

From Setup > Communications, double-click on the clock group, then go to the Identities tab...

  1. Locate the Clock ID number in the PIN Column
  2. Assign that Clock ID to the employee using the Dropdown list
  3. Repeat steps 1 and 2 as needed
  4. Save the Clock Group

Individually...

From Employees, edit the the employee...

  1. Select the Externals tab
  2. Select the Clock ID number from the "Unassigned" dropdown list
  3. Click "assign"
  4. Save the Employee


If an employee cannot punch in at a clock, first check the clock ID and make sure that the clock ID has evidence types (fingerprints, face recognition pattern, password, or card) assigned to it. It's possible that the clock ID was created, but no evidence enrolled.


If an employee's showing up and able to clock in at some clocks but not others, first make sure the clocks are in the same group. A clock ID in one clock group is completely unrelated to a clock ID in another. If you only have one clock group, check to make sure all clocks are currently talking to the server. You should see the current date and time under "Last Touched" for each clock. If not, try rebooting the clock, then close the clock group window, and reopen it. If that does not resolve the issue, troubleshoot the network connection, and failing all that, give us a call.


If all clocks are current, but an employee is not showing up at one or more of the clocks in the clock group, you can manually upload the clock ID from the server to the clock using Clock Tools.  Clock Tools are available from within the Clock Group.  For HTML versions, go to Setup > Clock Groups > [clock group] > Clock Tools button.  For Silverlight versions, go to Setup > Communications > [clock group] > Clock Tools button.  Within Clock Tools, Select the clock[s] you wish to update, then select the employee[s] you want to upload and then click upload selected employees, or simply click Upload all employees.
