To change from one pay period type to another, we recommend the following steps:
- Create a new pay period rule with the settings for the current pay period scheme. Name it with last day you will be using the current pay period, e.g., "Weekly Pay Period (ended 2016.04.15)".
- Change the name of your existing pay period with the start date of the new pay period, e.g., "Biweekly Pay Period (started 2016.04.16)".
- Close out the last pay period under the old rule (which has the name of your new pay period), then change the settings for the pay period rule to reflect the new rules. (This avoids you having to assign a new pay period rule to all of your employees.)
- When you need to generate reports or reference information prior to the change, temporarily assign the employee(s) to the newly created pay period rule (with the old settings) to get the correct pay period date range.
If you have any salaried employees, be sure to change their hours to reflect the new pay period, i.e., 40 for Weekly, 80 for Bi-Weekly, and 86.67 for Semi-Monthly. See instructions here:
