TIMECARDS


Timecards gives you a summary of your employees' hours for a given date range. You can double-click on an employee's name to enter their individual Timesheet. 


Timecards is also where you can access Import Attendance File and Timecard Tools.



Date Range Selection


 

Click on this box to open a dialog box and change the date range.


Current Pay Period


This will present the pay period for today's date for each employee. A company can have more than one pay period for its employees. The exact date range is shown in the Date Range column (4).


Previous Pay Period


This will present the pay period for each employee which precedes the pay period containing today's date.


Pay Period As Of


This will present the pay period for each employee which includes the date selected.


Custom Date Range


You can select any from and to dates for all employees to view their hours summary.



Filter box


You can quickly find an employee by name or ID by typing in a search string in this box. After you're done with the search, you can clear the filter box by clicking the gray X.



Quick Filter


After you've set up a Quick Filter in user settings, you can filter your list of employees down to one Tracking Level item by selecting it from the list. [All] will include everyone, [Unassigned] will only show individuals who haven't been assigned to an item in the Tracking Level.



Column Headers

Employee ID


You can click on this column header to sort your employees by their Employee IDs. Clicking on Employee ID again will reverse the sort order.



Employee Name


You can click on this column header to sort your employees by their names. Clicking on Employee Name again will reverse the sort order.


To change between listing your employees by their first names and by their last names, go to "my settings" and make your selection in "Full Name Format."



Reg / OT1 / OT2 / Total


Under each column header, you will see your employees' Regular, Overtime, and Overtime 2 hours, followed by the total of all hours, for the date range selected.


To change your duration format between hours and minutes (e.g., 8:30) and hours and decimals (e.g., 8.5), go to "my settings" and make your selection in "Duration Format."



View Range


The date range considered for each employee to display their Time Summary is presented here. 

A company can have more than one pay period for its employees.



Exceptions Filter


You can filter your list of employees to "With exception," "Without exception," or Both.

A red dot in this column indicates that the employee has an exception (usually a missing punch) in their timecard for the selected date range. 



Warning Filter


The warning filter will appear in your column header row, if your company has been set up with one or more hours types with "Warn if Worked" enabled. 


A yellow dot in this column indicates that the employee has an hours entry with the warning enabled, on a day that they've clocked in for work. E.g., if you have "Jury Duty" with "Warn if worked" enabled, and an employee had scheduled a day off for Jury Duty, only to have it canceled, they might come into work without remembering to remove the Jury Duty hours for that day. A "Warn if worked" warning will remind you to remove it before processing payroll.



Tasks


Import Attendance File


The Import Attendance File tool allows you to upload an ATTLOG data file to the server. 


You can collect an ATTLOG data file from a fingerprint clock or a face recognition clock using a USB drive. This is usually only necessary if there is no other way to connect the clock to the Internet.



To upload an ATTLOG data file, 

  1. Click "Choose Files" and locate the file from your computer. 
  2. Under "Minimum Timestamp Allowed," select the date and time from which you want data uploaded. Otherwise, all entries from the file will be uploaded, and this may create duplicates of original punches where a Supervisor or Manager edited a clock entry.
  3. Click "Import Files" to begin the process.
  4. Click "Close" when done.



Timecard Tools


You can use Timecard Tools to make bulk changes to the tracking and pay rate information on your employees' timecard entries. For instructions, see https://sundialtimesystems.freshdesk.com/a/solutions/articles/1000291360.



View


You can view an employee's individual timecard by selecting them from the list, then clicking on "View" at the bottom of the screen. Or, you can simply double-click the employee's name.



Items


Items indicates the total number of employees' timecards being presented on the Timecards screen. The number in parentheses indicates
